Workflow management

The application-integrated workflow management makes it possible to model business processes with a graphical designer and to control them in a documented and flexible manner. In this way, the system ensures that business processes are carried out in accordance with the currently valid Standard Operating Procedures. More than 1,000 preconfigured and standardized processes and sub-processes are already included in the GUS-OS Suite, which can be assembled into an overall process in just a few steps and can also be fully customized. The various tasks for the users, which are made available for processing in role-based to-do lists, result from the concretized workflow processes. The process chains can be controlled both in a purely linear manner and in parallel, so that different tasks for a process can be worked on simultaneously. In the case of sensitive release activities, the 4-eye check option ensures that different people have to carry out the relevant releases. If required, process steps can be provided with an e-mail notification, so that even employees who rarely move around the ERP system are made aware of their to-dos.

Various - transaction-related - control centers transparently display an overview of which process step each transaction (e.g. sales order, complaint, purchase order, inspection plan, product development, invoice receipt document, etc.) of the company is currently in.

By including the checklist function, control and release steps can be provided with checkpoints that must necessarily be processed in order to be able to confirm a task in the workflow. These checkpoints can be flexibly defined in corresponding templates according to their type (logical, evaluative, classifying checks as well as recording of measured values) and their scope depending on their context. Such a checklist definition can be equipped with a version management and corresponding releases, so that it is ensured that only checklists that have been checked in advance are used operationally.

Various options are available for dynamic adaptation of the workflows at runtime:

  • Decision nodes leave it up to the user to decide which parts of a workflow are run through
  • Repetitions of individual activities or even entire sub-processes are possible
  • The insertion of individual activities or even entire sub-processes in a running workflow process is also provided for
  • By linking main and sub-workflows, a high level of transparency is achieved in the process flow across several operations (even from different departments) (example: linking the workflows of sales order and purchase order in the case of a drop shipment).
 

The workflow processes can also be configured to log a measurement of the throughput times. These throughput times can be monitored accordingly via the KPI module (Key Performance Indicators).

Feature Pack 7.0 of the GUS-OS Suite

With Feature Pack 7.0, the latest version of the GUS-OS Suite is now available. Besides additional modules, it offers a multitude of new functions.
